Private schools and colleges

Every learner, every term, on one set of books

A school runs on a few things done right every day: the register taken, the fees billed to the right family and collected, the marks recorded fairly, and a report that goes home saying what the marks say. All of it on the same records as the school's money, with the gate's who-may-collect list on top.

At sign-up, choose Trades & services and, among what to run first, A school: learners, fees and reports — everything below is on from there.

A teacher at the front of a class of learners at their desks
What it watches for
  • Fees are worked out by hand each term, and the family with three children gets the discount wrong.
  • Nobody knows who owes until the end of the term.
  • A learner is away three days running and nobody phones home.
Who to chase: money owed by age, and the customers closest to their limit
The same, on a phone

What is owed, what is late, and who to call first — the moment you open it.

The problems it solves

What goes wrong, and what it does about it

For independent primary and high schools, private colleges, academies and tutoring centres.

The problem

Fees are worked out by hand each term, and the family with three children gets the discount wrong.

What it does

The school writes its own fees — each term's, the year's and the once-only — which grades pay each, what brothers and sisters get off, and how a bursary sits beside that. Each term it shows every family's invoice before it goes, brothers and sisters on one, every line saying what came off and why, and bills each family once.

What you get

Every family billed right, on time, without a spreadsheet.

The problem

Nobody knows who owes until the end of the term.

What it does

Term invoices land in the same books as everything else, so what each family owes is on the fees page the moment a payment arrives or does not. Reminders go out in the school's own words — never at the gate, and never in front of the class.

What you get

Arrears seen in the first week of term, not the last.

The problem

A learner is away three days running and nobody phones home.

What it does

Each class's register is a tap a learner, with an absence that has a reason kept apart from one that does not. A class whose register is not taken is flagged on the school's front page, and a learner absent without a reason three school days running is raised for a call home.

What you get

No unexplained absence goes a week without a call.

The problem

A learner who missed a test is counted as if they scored nought.

What it does

Marks go in test by test, each with its share of the term mark. A test not written is kept as absent, not as a zero, and the term mark is worked out from what each learner actually sat, on the school's own grading scale.

What you get

Term marks that are fair, and that a teacher can explain to a parent.

The problem

A corrected mark quietly changes a report a family already has.

What it does

Reports are laid out to print, with every subject teacher's and the class teacher's comments. Once issued, a report is frozen exactly as it went home; correcting it means taking it back, with the reason written down.

What you get

The report a family holds always matches the school's own copy.

The problem

A child leaves the gate with somebody who must not collect them.

What it does

Every learner has a door list: their parents or guardians, who else may collect them, and who must not — with the court order on file. Nobody on the must-not list leaves with the child, and anybody not on the list needs a guardian's word, written down.

What you get

The protection order is kept at the gate, not just in a file.

Said plainly

What it does not do yet

  • Timetables are not built yet.
  • Parents do not yet see reports in their own app: a report is printed, or saved as a PDF from the browser and sent.
  • Admissions is a list of where each applicant stands — there is no online application form for parents yet.
And everything else

Nothing is switched off

The trade decides what the workspace opens on. It never removes anything — the invoices, the books, the team and the assistant come with every one of them.

Type what you need

Ask in plain language and it drafts the quote, the invoice or the customer record — then shows you the draft before anything moves.

An AI that stops for you

Three autonomy settings, and none of them lets money move or a customer be contacted without a person. Enforced in code, not in a prompt.

Quote to cash

Build from your catalogue, send a branded PDF, and the status moves itself from sent to seen to paid.

Chasing that escalates

A ladder of reminders, each rung recorded, that stops the moment money lands — and never opens with a lawyer's letter.

Real books underneath

Double-entry, bank feeds, reconciliation and a VAT return generated rather than reconstructed under deadline pressure.

Stock that tells you first

Reorder points from real demand, batch expiry before the date, and bins with a walking order so picking never depends on memory.

Proof before the argument

Geotagged, timestamped, signed evidence captured as the work happens — not asked for after a customer disputes it.

The people, not just the pipeline

Rosters, geofenced sign-on, payroll, and the daily-wage workers a payroll system has no row for.

Where you sit, not just what you made

Margin, days to get paid and win rate against your own trade — anonymously, opt-in, never below five businesses.
